1. Who is responsible

2. Which data we collect

We only process personal data that you send us through our website forms:

• Quote form: company name, contact person, email address, phone number, pickup and delivery location, cargo type, estimated weight, transport and container type, preferred pickup date, dimensions, project details, and your notes.
• Contact form: name, email address, phone number (optional), company name (optional), and your message.
• Technical data: our hosting provider records technical request data (such as IP address and time of request) in server logs to deliver and secure the website.

3. Why we process your data

• to prepare and send you a quote and to answer your questions;
• to carry out the transport or related services if you place an order, including communication about your shipment;
• to keep our administration and meet legal obligations (such as bookkeeping).

4. Legal basis

• Steps prior to entering into a contract (Article 6(1)(b) GDPR): handling your quote request and preparing an agreement.
• Performance of a contract (Article 6(1)(b) GDPR): carrying out an order you place with us.
• Legitimate interest (Article 6(1)(f) GDPR): answering general enquiries and keeping our website secure.
• Legal obligation (Article 6(1)(c) GDPR): keeping bookkeeping records.

5. Who receives your data

We only share personal data where this is necessary. Processors and recipients:

• Formspree (form handling; USA). Formspree receives and forwards the details you submit in our forms. Transfers to the USA are covered by the EU-US Data Privacy Framework and/or Standard Contractual Clauses.
• Netlify (website hosting). Netlify hosts the website and processes technical request data.
• Carriers, rail operators, warehouses, and customs partners that we engage to carry out your order. They receive only the shipment data they need for their part of the job.

We do not sell personal data.

6. How long we keep your data

• Quote requests that do not lead to an order: 24 months, after which we delete them.
• Data that forms part of our bookkeeping (such as quotes and invoices linked to an order): 7 years, as required by Dutch fiscal law.
• Contact form messages: as long as needed to answer you and follow up, and no longer than 24 months unless an order follows.

7. Your rights

You have the right to access, rectify, erase, and restrict the processing of your personal data, the right to data portability, and the right to object to processing based on legitimate interest. To use these rights, emailinfo@fmmfreight.nl. We respond within one month. We may ask you to identify yourself first.

8. Complaints

If you think we handle your data incorrectly, please contact us first so we can solve it. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens):autoriteitpersoonsgegevens.nl.
